Form W-2c: How a Wrong W-2 Gets Corrected

Form W-2c, Corrected Wage and Tax Statement, is the form an employer uses to fix an error on a Form W-2 it has already issued. Only the employer can file one. A worker cannot correct their own W-2, and no form a worker files changes what the employer reported. If your W-2 is wrong, the correction starts with a request to your employer's payroll department, and the IRS publishes a set route for the cases where the employer does not act.

What Form W-2c is

A W-2c corrects a W-2 that has already been issued, for the same tax year. For each box that changes, the form carries two figures: what was previously reported, and the correct information. Boxes that do not change are left off it. The employer files the W-2c with the Social Security Administration, sends the Social Security Administration a transmittal (Form W-3c), and gives the employee copies. Wage data filed with the Social Security Administration is shared with the IRS, which is how the correction reaches your tax record.

One timing point sits underneath the whole system. If an employer catches an error before the original W-2 has been filed with the Social Security Administration, it can void the incorrect copy and issue a corrected W-2 instead, and no W-2c is needed. Once the original has been filed, the W-2c is the only correction instrument there is.

only the employer can issue one

Who can issue one

Who can and cannot correct a W-2
Your employerYes. The employer that issued the original W-2 (or the payroll company acting for it) files Form W-2c and gives you your copies. This is the only route that changes the reported figures.
You, the workerNo. You cannot file a W-2c, and no substitute form you complete changes the employer's figures. Your tools are the request, your own records, and the IRS complaint route below.
The IRSNot directly. The IRS cannot rewrite a W-2. What it can do is require attention: on a Form W-2 complaint it writes to the employer asking for a corrected W-2 within ten days.
A tax preparerNo. A preparer can help you compare figures, file your return, and amend it later, but cannot correct the W-2 itself.

The steps, in order

  1. Compare the W-2 with your own records first. Use the year to date figures on your final pay stub of the year, your tip reports if you filed them, and your overtime hours. Write down the exact box, the amount shown, and the amount your records show. A correction request that names a box and two figures is one payroll can act on.
  2. Ask payroll or human resources for the correction, in writing. An email is writing. Keep a copy of what you sent and the date you sent it: the IRS route further down applies after you have attempted to have your employer issue a corrected form, and a dated request is the proof of the attempt.
  3. Give the employer the chance to issue the W-2c. The Instructions for Forms W-2 and W-3 tell employers to file Form W-2c and furnish it to the employee as soon as possible after an error is discovered. No fixed number of days is set, so measure in weeks, not months, and follow up in writing if nothing arrives.
  4. If the W-2 is still not corrected by the end of February, call the IRS. Call 800-829-1040, or make an appointment at an IRS Taxpayer Assistance Center, and ask for a Form W-2 complaint. Have ready: your name, address and Social Security number; your employer's name, complete address and phone number, and its employer identification number if you know it; and your dates of employment. The IRS sends your employer a letter requesting a corrected Form W-2 within ten days, and sends you Form 4852 with its instructions.
  5. Check whether the IRS already holds the correction. Depending on the time of year, the IRS may have received the corrected W-2 and hold it as a wage transcript in your IRS online account. If it has, the IRS states you can use it to file instead of Form 4852.
  6. File on time, with or without the W-2c. The filing deadline does not move because a W-2c is outstanding. If the corrected form has not arrived in time to file, Form 4852 is the IRS's substitute for the return. Read the limit on it in the next section before relying on it for the new deductions.
  7. If a W-2c arrives after you filed, compare it with your return. The IRS instruction is direct: if you receive a corrected Form W-2 after filing with Form 4852 and the information differs from what you reported, you must amend the return by filing Form 1040-X, Amended U.S. Individual Income Tax Return.

Facts a worker may include in their own request

This site does not draft the request for you, and no particular wording is required. A written request to payroll usually carries these facts, each of which you can state in a sentence of your own:

The Form 4852 limit, in plain words

Form 4852, Substitute for Form W-2, is a form the worker completes from their own records when the employer does not provide a corrected W-2 in time to file. It has a real use, and for tax year 2026 it also has a hard limit that matters on this site:

If the problem on your W-2 is specifically a missing or wrong code TP, code TT, or Box 14b figure, the missing codes page works through those cases in order. What the codes themselves mean is in the W-2 decoder.

If the employer refuses, cannot be found, or has closed

The IRS route does not depend on the employer's cooperation. The same end of February step applies: call 800-829-1040 or visit a Taxpayer Assistance Center and ask for a Form W-2 complaint. The IRS attempts to contact the employer, including one that has stopped trading, and sends you Form 4852. Because a closed employer may never issue the correction, your own records carry the weight here: keep your final pay stub and any pay records you have, since Form 4852 is figured from the year to date information on the final pay stub where possible. One later check protects your Social Security record: after September 30 following the year shown on the Form 4852, you can verify the wages the Social Security Administration holds for you in a my Social Security account or at a Social Security office.

The timeline, honestly

Dates and expectations for a tax year 2026 correction
Your W-2 is due to youBy February 1, 2027. The regular January 31 deadline falls on a Sunday in 2027 (Instructions for Forms W-2 and W-3, tax year 2026).
Employer correctionAs soon as possible after the error is discovered, per the same instructions. No set number of days exists, and this site will not invent one.
Your trigger pointThe end of February 2027. If you asked and the W-2 is still not corrected, the IRS Form W-2 complaint route opens.
The IRS letterAsks the employer to furnish the corrected Form W-2 within ten days.
Your returnStill due on the normal filing deadline, with the W-2c if it has arrived, with Form 4852 if it has not, and amended on Form 1040-X if a differing W-2c arrives after filing.
Your refundNo timing is promised on this page. The IRS states only that a return filed with Form 4852 may be delayed while the figures are verified.

A correction that runs long also moves a refund: the Form 4852 delay above, and, where a differing W-2c arrives after filing, an amended return, which the IRS measures in weeks beyond an original return. How refunds move through the season, in the IRS's own published statements, is collected on the how long an IRS refund takes page. The amended return itself, when one is needed and when it is not, and how it is filed and tracked, is explained on the amended return page.

Questions and answers

Can I file Form W-2c myself to fix my own W-2?

No. Form W-2c is filed by the employer that issued the original W-2, with the Social Security Administration, and the employer gives you your copies. A worker, a tax preparer, and the IRS itself cannot rewrite what an employer reported on a W-2. The worker's part is to ask for the correction, keep records, and use the IRS complaint route if the employer does not act.

How long does an employer have to send a W-2c?

There is no fixed number of days. The Instructions for Forms W-2 and W-3 tell employers to file Form W-2c and furnish it to the employee as soon as possible after an error is discovered. The dated trigger that belongs to you is the end of February: if your W-2 has not been corrected by then after you asked, the IRS will open a Form W-2 complaint, and its letter asks the employer to furnish the corrected form within ten days.

My employer has closed. Who corrects my W-2 now?

The route is the same one the IRS publishes for any employer that does not provide the correction: call the IRS at 800-829-1040 or visit a Taxpayer Assistance Center. The IRS attempts to reach the employer and sends you Form 4852, the substitute form, which is figured from your own records, starting with the year to date figures on your final pay stub. Keep your pay stubs and pay records; in this situation they are the evidence.

Does Form 4852 fix a wrong code TP or code TT amount?

No. The IRS states that an amount of qualified tips or qualified overtime compensation reported on Form 4852 cannot be used to determine those deductions, and that for tax years after 2025 the overtime deduction is limited to the amount separately reported on the W-2 itself. For those two deductions, the only fix is a Form W-2c from the employer. Form 4852 still has its general use for the rest of the return when a corrected W-2 does not arrive in time to file.
